We set out below our day to day property management activities:

FINANCIAL SERVICES


  • Prompt collection of rents, service charges, insurance premiums and other outgoings and complying with client banking and accounting requirements. 
  • Separate client accounts for each client and service charge funds for approved expenditure.
  • Rent deposits.
  • Credit control systems.
  • Monitoring or preparation of annual service charge accounts for audit purposes.
  • Budgeting for future repair, maintenance and running costs and the provision of income flow and expenditure forecasts on a periodic or ‘as needed’ basis.
  • Authorisation and payments to contractors or suppliers and apportionment of responsibility.
  • Advice on insurance.
  • Monitoring of Business Rates 
  • Sustainability, Energy Procurement and Utility Management.

INSPECTIONS

The frequency of inspections will depend upon the complexity of ongoing issues and estate management requirements.

REPORTING PROCEDURES

We would expect to provide Quarterly financial and property management reports or as may be required. 

LANDLORD & TENANT
  • Regular appraisal of leasing and occupancy and the identification of active management possibilities.
  • Advice on lease interpretation and compliance with head lease covenants. 
  • Advice on Landlord and Tenant notices, negotiating lease expiries and rent reviews and monitoring progress.
  • Management of tenant alterations subject to appropriate licence terms and conditions.
  • Appraisal of sub-letting proposals, assignments and general advice thereon.
  • Maintenance of good landlord and tenant relationships

SITE MAINTENANCE & BUILDING MANAGEMENT
  • Preparation and implementation of planned maintenance programmes.
  • Appointment of site based personnel.
  • Contract negotiations and the appointment of service contractors and supervision of works. 
  • Air conditioning/Heating systems and associated plant.
  • Fixed wiring installations.
  • Fire alarms, emergency lighting and general fire equipment facilities.
  • Road Repairs
  • Estate cleaning equipment.
  • Plumbing and sanitary services.
  • Repair and renewal of plant and machinery.
  • Estate cleaning and removal of waste.
  • Landscaping maintenance.
  • Security.
  • Sustainability and energy management.

KEY PERFORMANCE INDICATORS (KPIs)

  • Creation of KPI measurement programmes to enhance standards of service provision.
  • Inspections and Reporting.
  • Benchmarking at a glance by written text, numeric scoring and cumulative bar charts.
  • Objective assessments and driver for improvements.
